COVID-19: Staff Paid Special Leave

RISD has policies and practices in place to promote the wellbeing and safety of all employees, including ones that address the current impact of the COVID-19 pandemic. Among these, employees can request a temporary category of paid leave specific to the pandemic, called “paid special leave”. This provides staff members a source of paid leave additional to normal sick and vacation time, if needed.

Starting January 10, 2022, an employee may receive paid special leave for up to a maximum of 12 days, inclusive of time related to reaction to the COVID-19 vaccine and/or COVID-19 booster.

RISD may continue to modify policies as conditions related to COVID-19 evolve and as more information becomes available. Employees can direct questions to Human Resources at humres@risd.edu or 401 454-6606.

Managers should consider, prepare for and discuss with their employees all possible alternate (flex time) or remote work arrangements based on department operational needs. If you are able to work remotely, you do not need to complete the paid special leave form (linked below).

Paid Special Leave Eligibility and Guidelines

  • Employees who have COVID-19 must remain at home and not report to work but may request a paid special leave for up to 10 business days to care for themselves, and then use regular sick time.
  • Employees who do not have COVID-19 but who need to self-isolate (symptoms but not confirmed diagnosis, exposure to others who have symptoms or the virus, or travel—see RIDOH travel information as applicable) may request alternate (flex time) or remote work arrangements or a paid special leave for up to 10 business days to care for themselves, and then use regular sick time.
  • Employees who do not have COVID-19 but need to provide care for a dependent or a household member with COVID-19 or in need of isolation, or who may themselves have an underlying health condition, may request alternate (flex time) or remote work arrangements or a paid special leave for up to 10 business days, and then use regular sick time.
  • Employees who are not sick but must provide dependent care due to a school closure may request alternate (flex time) or remote work arrangements. If you are unable to work remotely, you may request paid special leave for up to 10 business days, and then use normal time-away policies.
  • Employees who have received the COVID-19 vaccination and are unable to work as a result of experiencing post-vaccination symptoms may request paid special leave for up to two (2) consecutive work days, and then use regular sick time.
  • Other situations remain subject to normal time-away policies.

Following use of sick time, employees may use other time off, as applicable and in accordance with normal policies.

Complete the linked form to request paid special leave. Human Resources will contact you regarding your request. Requests will be considered based on the information provided by the requesting employee or their manager, in conjunction with RISD’s Employee Health Coordinator.
