Onboarding at RISD for Managers: Your New Employee’s First Day


Your new employee’s first day provides an opportunity for you to welcome them by introducing them to their team members and workspaces and ensuring they are set up to successfully begin their new role at RISD.

Newly hired employees must begin their first day of employment in Human Resources to complete their new hire processes. Managers should meet or arrange for a designee to meet the new employee at the HR office after their appointment. Employees may have different work modalities (on-campus, hybrid, and remote) and therefore not all action steps may apply.

  • Provide your new employee with a warm welcome by introducing them to their team members and other colleagues.
  • Plan time to review the employee’s responsibilities one-on-one or in small groups.
  • Plan for you or a colleague within the department to take the employee to lunch.
  • Remind the employee to review the New Employee website, if they have not done so already.
  • Meet with the employee at the end of the day to review the day and answer questions.

  • Provide employee with key(s), if applicable.
  • Provide department or building-specific safety and emergency information.
  • Share internal staff directories and/or contact lists. Employee contact information can also be found via Workday and info.risd.edu.
  • Take employee on a building tour and highlight key areas:
    • Restrooms, mail rooms, copy machine, bulletin boards, parking, printers, office supplies, water fountains, break rooms, vending machines, emergency exits, conference rooms, etc.
  • Discuss hybrid/remote work office expectations and information. The employee should submit their request for a hybrid/remote work arrangement, if agreed upon, in Workday.

  • Provide the new employee with orientation materials and discuss the following:
    • Job description including roles, responsibilities, and expectations
    • Outline their first week’s schedule including introductory meetings with team members and other key staff and campus partners where they can learn more about how their job roles may interact.
    • Discuss hours of work/schedule, timekeeping practices relevant to the position, department policies related to overtime (if applicable) and College policies for flexible work, vacation, personal, sick time, holidays, etc.
    • Discuss orientation and review (probationary) period.

  • Meet or arrange for a designee to meet the new employee at the Human Resources office to take them to get their RISD ID at Card Services and obtain a parking pass from Public Safety.
  • Provide information on parking options relative to their work location.

  • Encourage your new employee to review the various technology “how to” videos offered by RISD ITS, including those related to Workday, Gmail, Zoom, and more
